How To Verify a Mailing Address

When you need to contact someone and you're not sure they are living at the address that you have on file, knowing how to verify a mailing address becomes an essential skill. You can use this system to local a business after it has relocated, tenants that have moved, or any other need you may have to locate a specific address. It is important to note that websites and phone books may not update for up to 12 months after someone has moved. This is because they are on annual update cycles. If you have already received your new phone book this year, then there is a good chance that the address will not be accurate.

1. Use CASS-Certified Software

CASS is the system of address verification that the US Postal Service uses. Unlike credit cards that verify addresses by matching their account to the user's information, the USPS looks at deliverability. With certified software, you can also use the same data to determine how accurate the address happens to be and in many instances can verify addresses.

2. Use Online Platforms

If you don't want to invest into a full software package because there's only one address you need to verify, then an online platform like MelissaDATA can help you find the information that you need for a small fee. You have 5 free verifications on some platforms, but there may not be person-specific data with the free options.

3. Follow Up

Although 1 in 6 families will move every year, most of them will need a reference from their previous landlord or representative. This reference information can then be used to obtain and verify a new address. Although subletting might make this process a little difficult, it is an easy way to make sure you have the needed information on file. Follow up on phone numbers you may have, email addresses, and other forms of contact to get the needed information. Sometimes verifying an address happens through forwarding mail and notifications. When that mail gets returned, follow these steps and you'll be able to stay in touch with everyone.
