How To Write A Landlord Security Deposit Refund Letter
A landlord security deposit refund letter can be sent at the time of sending the notice of termination of rental agreement or at the time of vacating the property. The security deposit is usually refunded after a tenant has vacated a property and handed over the keys and all other instruments of access to the property. Typically, the security deposit refund is requested in the notice letter itself that initiates the termination process of the rental agreement. Should a tenant not receive the security deposit refund in a fortnight, twenty one days or more after having vacated the property and returned the keys, one should once again issue a landlord security deposit refund letter.
How to Conduct the Letter
A landlord security deposit refund letter is just a normal official letter which should be addressed to the landlord or landlords and needs to be mailed at the address of the landlord that had been used in the rental agreement. Should the address on the rental agreement not be the place of residence of the landlord or the place of business then copies of the letter can be mailed to those addresses as well. There should be a subject mentioned in the letter which could be as simply as ‘Request for Security Deposit Refund’. The letter should be dated.
The Body of the Letter
The erstwhile tenant must provide an introduction by giving his or her name, contact details and must mention the address of the property that the erstwhile tenant had been staying in. Any reference to the rental agreement is welcome in the subject, especially the terms pertaining to the refund of the security deposit. The erstwhile tenant is required to mention the tenure of the agreement, the date on which the property was vacated and the date by which the security deposit must have been refunded. Thereon, the letter must request an immediate payment or refund of the security deposit. To facilitate the entire process, the erstwhile tenant must provide his or her banking details, present address and other details as one find necessary. Such details should already be with the landlord because of the details being provided in the notice or rental termination letter but it is better to furnish them again.
