How to Write a Rental Termination Letter from a Landlord

A rental termination letter is a notice that terminates a lease agreement. A rental termination letter can be authored by the tenant or by the landlord, as the case may be. It has to be noted that a rental termination letter has to be in accordance with the clauses of termination as mentioned in the lease agreement. If there isn’t a sufficient notice period offered by the tenant to the landlord or by the landlord to the tenant then the party defaulting or breaching the agreement would be liable to pay a penalty.

What is a Rental Termination Letter

A rental termination letter that a tenant should write to a landlord would be a formal letter. It should comprise of the basic details of addressing an official letter and along with that there should be specific details about the date on which the tenant plans to vacate the apartment or residence, the new address where the tenant can be reached at and any other message that the tenant wishes to convey including the return of the security deposit and being physically present at the time of the landlord’s checking the property for damages, if any.

The formal letter should start with the tenant addressing the landlord. The details required are the name of the landlord or names if that is applicable and the complete address of the landlord, including the postal code. There should be a subject that can be as simple as ‘Termination of Rental Agreement’ or ‘Notice pertaining to Termination of Rental Agreement’.

What to Include

The body of the letter should comprise of simple details such as the date on which the tenant plans to vacate the apartment. A tenant is not obligated to provide a reason to vacate, especially when he or she is not breaching the termination clause mentioned in the lease agreement. Should the tenant be failing to provide the necessary notice period to the landlord, then a reason should be provided which can help in convincing the landlord to not reject the request for security deposit refund.

Provide Additional Contact Information and Sign

Any specific information such as the new address of the tenant, making any pending payments, asking for any deposits other than the normal security deposit and any other specific clause that the tenant wishes to mention, should be included in the letter. The rental termination letter should be mailed to the landlord and a copy of the correspondence must be held with the tenant.

The tenant should sign the letter with details of the present address whose rental agreement he or she is about to terminate.
